Job Summary:

UT Health San Antonio will be implementing Epic’s Inpatient applications as we expand our ambulatory environment and open a Multispecialty and Research Hospital (MSRH). We are seeing an experienced Supervisor with experience in the Resolute Hospital Billing space for an exciting opportunity to lead a team of analysts as we design, implement, test, validate and maintain Epic Enterprise software.

 

Reporting to the Director of Clinical Information Systems, this position manages, trains, and motivates their team of analysts/support staff to achieve positive outcomes and continuously add value to the Health IT collaborative at UT Health San Antonio. This work entails managing projects, prioritizing work, providing feedback, managing performance, identifying and mitigating risks, and ensuring high quality service to internal and external stakeholders. This position also includes performing the job functions of a Clinical Information Systems Analyst. The Clinical Information Systems Analyst - Supervisor will continually assess and make improvements to systems and processes to increase efficiency while judiciously managing the resources of UT Health San Antonio. This role requires an individual who is a subject matter expert and is well versed in all software applications for which they are responsible. This position will supervise the daily activities of assigned personnel who support the use of Epic's applications and modules. Responsible for ensuring the integrity of the clinical information system and quality assurance. Interacts professionally, effectively, and collaboratively with leadership, faculty, peers, staff, and vendors.

 

Job Duties:

  1. Leads, motivates, develops, mentors, and supports a team of analysts and contractors, delegates, and assigns tasks.
  2. Promote knowledge sharing and cross-training among the team members.
  3. Works to establish and maintain valuable relationships that are collaborative both within in outside Health IT.
  4. Oversees staff to ensure that they collaborate with and provide expert-level support to their counterparts from other Epic applications and Health IT and/or affiliates.
  5. Oversee workflow to assist employees in knowing their job responsibilities and delegate duties.
  6. Coach employees by giving them constructive feedback to help perform certain tasks.
  7. Supervise the work of all direct reports and contractors to make the team’s efforts efficient and produce desired outcomes.
  8. Collaborates with leadership to ensure timelines and deliverables are realistic and actionable.
  9. Manages projects, programs, and work activities of the team, ensuring deliverables and deadlines are met.
  10. Administer tasks and sure they are done properly and on time.
  11. Tracks and measures team, project, and individual performance goals, and adjusts strategies, as necessary.
  12. Works with leadership, key stakeholders, and their team to identify, document, and implement potential process and workflow improvements.
  13. Assists project managers in identifying system capabilities and designing and executing project plans.
  14. Lead working sessions with team members to review and resolve cross-application and specialty module requests and support issues.
  15. Ensures application build corresponds with underlying workflows and processes; liaises with others as needed to achieve this level of understanding.
  16. Documents specifications for both internal users and end-users; contributes to other Health IT teams’ documentation.
  17. Designs and scopes complex projects and statements of work, including deliverables, timeline, milestones, and resource estimations.
  18. Provides technical expertise for system upgrades. Builds, designs, tests, and documents functionality of new system features.
  19. Based on clinical project requests, works with requestors and users to understand, and document current workflow with an eye toward proposed future workflows that are optimized for any planned application changes.
  20. Presents recommended system enhancement opportunities and creative technical solutions for complex clinic-related scenarios.
  21. Performs ongoing maintenance and configuration updates to Epic applications.
  22. Creates test scripts, timelines, and plans for application and workflow changes.
  23. Performs actual testing of clinical information system configuration and processes, including testing across applications and/or the testing of the application configuration of other analysts.
  24. Coordinates system fixes and changes with software vendors.
  25. Evaluates employee performance and creates performance goals for employees, set deadlines and give feedback regularly on their performance.
  26. Communicates department information to employees via one-on-one and team meetings
  27. Utilize third party vendor systems as required including but not limited to Epic UserWeb, Galaxy, Nova, and Sherlock for knowledge acquisition, report issues and track fixes/enhancements.
  28. Organizes training and professional development opportunities for staff to participate in.
  29. Performs other duties as assigned.

Education:

 

Bachelor’s Degree required (comparable experience may be considered in lieu of degree)

 

Experience:

 

Minimum five (5) years of experience in field required; three (3) years of supervisory experience or leadership role highly preferred.


Certification(s) in Epic applications or willingness to attain Epic certification(s) as required within specified timeframe.
